Position Description:

Self-Help is seeking an Admin Services Associate to join our team in Durham, NC.  The Admin Services Associate provides the highest level of customer service and support to all internal staff to ensure effective and efficient operations.  Serves as back up to Front Desk when needed, and performs general clerical, customer service, and special project work in support of the Admin Services team.

Essential Responsibilities:

 

•    Provide quick, efficient and accurate administrative support in handling administration requests received through Admin Requests as well as assisting with travel activities for the organization. Such support will include preparing correspondence, supporting meeting logistics, and other duties as needed.

•    Assist with travel activities of staff and the coordination of company cars and related maintenance records. Ensure staff members are aware of SH policies and procedures on a regular basis. Coordinate staff travel needs and payments via travel management company (TMC) and automated booking systems. Work closely with the Accounting/Finance teams to provide support with the corporate credit card reconciliation program.

•    Provide support for internal staff for systems/services procured provided by the Administrative team.

•    Support all front desk functions on a daily basis.

  • Coordinate internal mail projects
  • Assist with special projects and other duties as assigned.Projects may include, but are not limited to, assisting with catering, data entry, large mailings, translation services and other assignments as needed.

 

Minimum Qualifications:

•    High school diploma or equivalent and minimum of 1 to 3 years of customer service or administrative support experience.

•    Demonstrated ability to communicate effectively, both orally and in writing

•    Working knowledge of MS Outlook, Word, Excel and PowerPoint.

•    Excellent interpersonal skills; ability to communicate clearly and effectively.

•    Knowledge of administrative and clerical procedures and systems, managing files and records, designing forms, and other offices procedures and terminology.

•    Ability to effectively plan and organize work.

•    Strong customer service skills.

•    Ability and willingness to work overtime as needed.

 

Desired Qualifications:

•    Working knowledge of Adobe, preferred.

•    English/Spanish fluency a plus

 

Physical Requirements:

 

Frequently requires use of manual dexterity and repetitive motions, primarily with the wrists, hands, and/or fingers.  Must be able to occasionally lift and exert force of up to 40 pounds.
