Role Overview:

Under the direction of the Director, Property & Asset Management, the Property Manager will oversee the effective administration of policies and procedures ensuring well-managed, well-maintained Self-Help owned properties to meet mission by providing good customer service to tenants and financial objectives to maximize returns on investment-grade real estate assets. The Property Manager is responsible for the overall management of assigned commercial and residential properties including lease administration, property inspections, tenant relations and communications, payables and receivables, annual budget preparation, financial reporting and assisting Director with all aspects of property management. The Property Manager will work with and have management responsibility for the Asst Property Manager.

 

Essential Responsibilities:

 

  • Perform the day-to-day operational management duties of assigned commercial buildings and residential properties consistent with policies and procedures, approved budgets, business plans and management direction.
  • Maintain ongoing familiarity and knowledge of the operational requirements of all properties assigned by the Director through direct interaction; conduct regular property inspections, coordinate services with maintenance managers and vendors and communicate with tenants.
  • Monitor and oversee tenant-focused relationship programs, tenant requests and processes that meet or exceed building occupant expectations and consistent with lease parameters.
  • Serve as tenants’ primary point of contact within Property Management. This includes working with the Assistant Property Manager in receiving and entering tenant work requests in work order system, promptly responding to tenants and facilitating communication with tenants and maintenance manager through completion and close out of all tenant requests.
  • Ensure the work order system meets the expectation of the tenants and property management team.
  • Work with the Leasing team to address tenant issues or concerns that could affect their lease or tenancy.
  • Coordinate and direct new tenant move-ins and move outs, including make ready of spaces, tenant signage, new tenant welcome letter and orientation, receipt and return of security deposits and certificates of insurance. Work directly with Leasing Manager to insure smooth and consistent transition of space to and from tenants.
  • Ensure property level A/R and A/P are accurate and being monitored as needed.Establish A/R and A/P guidelines, support and assist the Real Estate Accounting Administrator and oversee processes, timely entry of financial information and compliance with accounting requirements.
  • Manage collections activities when rent is delinquent; assess late fees, submit default notices and take appropriate action to resolve the delinquency.
  • Prepare monthly property reports, quarterly actual to budget comparison and variances, reforecast projections and other financial analysis, as necessary, for review with the Director.
  • Negotiate and manage service contracts and agreements with outside vendors and suppliers. Assist with and maintain database of contractors and suppliers consistent with our supplier diversity program, provide quality-control oversight, implement cost containment initiatives, measure compliance to contractual standards and provide liaison as needed between tenants, maintenance manager and third-party service providers.
  • Prepare annual property operating budgets. Work with Leasing team on rent projections for each property and assist director in preparation of capital improvement budgets. Budgets will be reviewed and approved by Director prior to the beginning of each calendar year.
  • Coordinate and execute capital improvement and major repair projects as determined by approved budgets and the Director or otherwise approved by Director and/or Team Leader.
  • Ensure that the Real Estate Accounting Administrator is properly supported with A/P and A/R and that the Assistant Property Manager is trained to assist with the AP and AR functions and back-up this job function, as determined by the Director.
  • Primary liaison between Leasing Manager and Property Management for leasing activity. Manage all lease administration duties including review and approval of all lease abstracts for new leases, renewals, amendments and terminations.
  • Perform lease audits and lease administration updates as needed to the Yardi property management/accounting software system. Oversee administration of current leases in compliance with lease provisions, including critical dates, terms and rent increases.
  • Generate necessary financial reports from the property management system to monitor status of rent transactions, including ACH payments, and delinquencies.
  • Work effectively with the Real Estate Accounting Administrator and Finance and Accounting team to ensure accurate financial information is entered into Yardi including processing and posting of receivables and payables.
  • Prepare legal correspondence with support from legal counsel as necessary, including demand and default letters. Serve and properly file lease violation letters and take appropriate default action as approved by the Director.
  • Obtain certificates of insurance or waivers from contractors, suppliers and other third parties, assure adherence to safety requirements pertinent to property visitors, tenants and employees. Provide post-accident follow-up, including reporting, investigation and liaison for insurance, legal and incident prevention purposes.
  • Support Director and Team Leader with Yardi Administrative roles and support users of the system as needed.
  • Assist with special projects as assigned.
  • Hire, develop and direct the Assistant Property Manager. Serve as a back-up to the Assistant Property Manager and/or Real Estate Accounting Administrator in all duties, when needed.
  • Act as a change agent to drive Self-Help’s economic inclusion initiatives by integrating supplier diversity and the use of businesses owned by women and people of color in third party contracting and vendor management for relevant products and services.
  • Participate in the hiring/termination process for 3rd party management and leasing companies and new staffing requirements as determined by the Director.
  • Perform other duties as may be deemed necessary.

Credentials, Experience and Skills:

  • Bachelor’s degree or equivalent related experience and 4 years of relevant property management experience required, with prior commercial property management experience preferred.
  • Knowledge of commercial property management practices and procedures.
  • Prior supervisory experience preferred.
  • Customer service experience in the real estate field beneficial, but not required.

  • Proficiency with Microsoft Word, Excel, Outlook, and Office 365 as well as high level of comfort in using various real estate software systems.
  • Experience with Yardi Voyager preferred.
  • Ability and willingness to work overtime and/or travel occasionally when needed, as well as the willingness to work after-hours (when needed) to meet the service expectations of our properties and tenants and to handle emergencies or special circumstances. (e.g. impending natural disasters, major repairs, weather related events etc.)

 

Physical Requirements:

 

Frequently requires use of manual dexterity and repetitive motions, primarily with the wrists, hands, and/or fingers.  Must be able to occasionally lift and exert force of up to 40 pounds.
